At RiceBid, we take the integrity of our marketplace seriously. To protect buyers, maintain quality standards, and ensure smooth international trade, we require all sellers to meet the following criteria before listing stock.

These requirements apply to all exporters, millers, agents, and cooperatives wishing to use RiceBid.com.

🟩 1. Registration & Verification

To sell on RiceBid, you must:

  • Register a seller account with accurate contact and business details
  • Be approved through manual verification by our team
  • Submit your business registration document or export licence (where applicable)
  • Have a valid phone number and WhatsApp contact

✅ Sellers who pass verification receive a “Verified Seller” badge on their listings.

🟦 2. Product Eligibility

You may list only rice that meets the following conditions:

  • Properly stored, clean, and safe for human consumption
  • Available for CIF shipping from your nearest port
  • Matches specifications you provide (grain length, moisture %, etc.)

Listings must include:

  • Type/variety (e.g. 1121 Sella, Jasmine, IRRI)
  • Broken %, moisture %, grain length
  • Packaging details
  • MOQ and available quantity

🚫 No mixed, adulterated, or falsely labelled products.

🟨 3. Sample Requirement

All sellers must agree to:

  • Send 1kg samples by airmail within 48 hours of receiving a sample order
  • Pack samples safely, clearly label them, and upload dispatch proof
  • Use airmail service capable of delivery within 10 days

Sample orders are the foundation of trust on RiceBid.

🟥 4. Shipping & CIF Terms

All rice must be sold under CIF (Cost, Insurance, Freight) terms. This means:

  • You are responsible for international shipping to the buyer’s port
  • You must include shipping and insurance in your listed price
  • You must upload bulk dispatch proof (B/L, airway bill, etc.) upon shipment

This protects buyers and simplifies international trade.

🟫 5. Documents Required

You must provide (or be ready to provide):

  • ✅ Quality Assurance or Lab Test Report
  • ✅ Phytosanitary Certificate
  • ✅ Certificate of Origin
  • ✅ Export Licence
  • ✅ Packing List & Invoice
  • ✅ Optional: SGS or 3rd-party inspection

These documents may be requested at any stage during trade or verification.

🟪 6. Media Uploads

To help buyers trust your listing, sellers are encouraged to upload:

  • ✅ Clear photos of the rice grain
  • ✅ Photos of packaging, storage, or milling facility
  • ✅ A short video showing the rice, packaging, or farm (even from a mobile phone)

This significantly increases sample orders and buyer interest.

⚪ 7. Response Time & Communication

You must:

  • Respond to buyer messages within 24 hours
  • Be available on WhatsApp during your working hours
  • Keep your listings and prices updated based on current stock

Non-responsive or inactive sellers may be suspended.

🔴 8. Zero Tolerance for Misconduct

You may be suspended or banned if:

  • You ship fake or substituted products
  • You fail to dispatch a sample repeatedly
  • You make deals off-platform (to avoid commission)
  • You abuse the escrow system or provide false documentation

RiceBid enforces all seller terms to maintain platform integrity.

🟤 9. Commission & Payouts

  • RiceBid charges a 3% commission on successful bulk transactions
  • Sellers are paid after buyer confirms successful delivery
  • Payouts are sent via Stripe or manual bank transfer
  • Sample order payments are released after dispatch proof

🟣 10. Acceptance of Terms

By registering as a seller, you confirm that:

  • You’ve read and accept all requirements on this page
  • You agree to uphold the CIF standard
  • You will work professionally and transparently with all buyers
